Frequently Asked Questions (FAQ)

  • Are post-conference activities included?

​

No. The conference does not include post-conference activities. However, the first 100 registered participants have received a free-entry benefit to selected national parks managed by the Chilean State (not private parks). Participants who received this benefit were provided with an official confirmation letter. If any of these participants do not use the benefit or do not attend the conference, the benefit will be reassigned to the next registered participant. Any additional post-conference excursions must be arranged directly with local companies. In some cases, participants may access special discounts by indicating their participation in the event.

  • What are the requirements for posters and slides?

Poster dimensions are: 90 cm (width) × 120 cm (height). The poster must fit within this space. Participants must submit their final poster file in PDF and JPG format (high quality), prepared for printing at 90 × 120 cm (portrait orientation) and exported at 300 dpi (recommended for maximum print quality). The deadline to confirm participation and complete registration is February 20. Final poster files will be received until March 15. The Organizing Committee will print the posters and display them during the conference. After the session, participants may collect their printed poster.

 

Presentation slides must be submitted in PowerPoint and PDF format by March 15. The slide format is flexible, but please consider that each oral presentation has a maximum duration of 15 minutes; therefore, we recommend preparing approximately 12 minutes for the presentation and 3 minutes for questions. Any last-minute modifications must be coordinated directly with the corresponding Symposium Leaders.

  • What happens if I do not register or do not attend in person?
    If you do not complete your registration and confirm your participation, your abstract will be removed from the scientific programme. Only confirmed in-person presentations will be included in the final programme.
    The confirmation deadline is February 20.

  • Are meals and field trips included?
    Yes. Field trips include a box lunch. During the main conference days, coffee breaks and lunch are included.
    The registration fee does not include dinners, breakfasts, or any additional meals.

​

  • What should I bring for the field trips?
    We recommend bringing trekking shoes and layered clothing due to variable weather conditions. If you have reduced mobility or special conditions, please contact us in advance so we can advise you on the most suitable field trip. Some field trips may require moderate physical effort.

  • Will there be internet or mobile coverage?
    The main venue will have internet access. During field trips, there may be satellite connection, although limited.
    In general, in rural areas of Patagonia it is common to have no phone signal or stable internet connection, so participants should expect to be offline for several hours.

  • Do I need a laptop for the pre-conference courses?
    Yes. Some courses require participants to bring their own laptop. Please check the description of each course to confirm technical requirements.

  • Is there an airport in Coyhaique?
    Coyhaique does not have a commercial airport. The closest airport is Balmaceda Airport, located approximately 1 hour away. Shared van transportation usually costs approximately USD 10 to USD 15. Coyhaique has a small airfield for local flights, but not a commercial airport.

  • When and where will the final programme be available?
    The final programme will be available after February 20 on the official conference website. Participants will be able to access the programme online through a direct link and a QR code provided at the venue. The programme is mobile-friendly and can be easily viewed on cell phones.

​

  • What language will the conference be held in?
    The official language of the conference is English. In some cases, oral presentations in Spanish may be allowed, with translation support.

​

  • Will there be a baby care room for parents and nursing participants?
    Yes. A baby care room will be available for parents with babies or small children, upon request from registered participants: iufro.div8.2026@gmail.com
    Childcare services will not be provided. Each parent is responsible for their child.

​

  • Is there an option for accompanying persons?
    Yes. Adults may register as accompanying persons under the available registration categories.

​

  • What is the cancellation policy?
    Registration payments are non-refundable. In case of cancellation, the Organizing Committee may issue an official payment confirmation / non-refund letter for administrative purposes.

​

  • I need an invitation letter. How can I obtain one?
    Invitation letters are issued only after completing registration and full payment.
    In some cases, an identification document may also be requested for administrative purposes.

​

  • What are the visa requirements for Chile?
    Entry and visa requirements depend on the participant’s country of origin. The Organizing Committee can provide invitation letters, but has no influence over decisions made by embassies or consulates.
    Participants are advised to consult directly with their respective embassy or consulate.

​

  • What about currency and card payments in Chile?
    Chile is largely a cashless country, and most payments are made by card. However, in many areas of Patagonia connectivity issues may occur, so carrying cash is recommended. The official currency is the Chilean Peso (CLP).
    Participants are advised to withdraw cash in Coyhaique, as ATMs may not be available in rural areas.

  • Is insurance mandatory?
    Insurance is not included in the registration fee. Participants are strongly advised to purchase travel insurance in their home country covering accidents, medical expenses, cancellations, and loss of belongings.

​

  • What is the conference liability disclaimer?
    The Organizing Committee is not responsible for any damage, loss, accidents, or incidents occurring during the event or during travel to/from the conference, including situations caused by unforeseen circumstances or force majeure. Each participant is responsible for their personal safety and belongings.

​

  • How can I stay updated about the conference?
    We recommend following our official social media accounts and regularly checking the conference website, where all updates and important announcements will be published.
